Governing Bodies

On the Governing Bodies form, store information about the agencies that promulgate regulations with which you must comply, such as the EPA. Other types of agencies can also be entered, such as the National Fire Protection Agency that determines limits on materials not regulatory driven. Enter address, contact, ID type, exposure limit, and hazard information for the governing body in the sections on the form.

To enter governing bodies

  1. Click Data Entry > Validation > Governing Bodies in the Navigation Tree.

    The Governing Bodies list appears.

  2. Click the New button.

    The Governing Bodies form is displayed.

  3. Type a Governing Body name.

  4. Select the applicable Jurisdiction for the governing body.

  5. Add information in the Address Information, Contacts, ID Types, Exposure Limits, and Hazards sections.

  6. Click the Save button on the form.

  7. Repeat steps 2 through 6 to add other governing bodies.

Adding Address Information for a Governing Body

Enter address information for a governing body in the Address Information section on the Governing Bodies form. This information is valuable for recordkeeping and reporting.

To add address information

  1. Locate the governing body on the Governing Bodies list, click the governing body link to open the Governing Bodies form, and expand the Address Information section if necessary.

  2. Use the following guidelines when entering address information:

  1. Click the Save button on the form.

Adding Contacts at a Governing Body

In the Contacts section on the Governing Bodies form, select the people working at the agency who are points of contact. For each person, a contact type can be assigned. For example, the chief of the TRI Information Management branch could be entered. Associating the contact type provides a method to readily identify each individual.

Enter specific information about a governing body contact, such as his or her telephone number, on the Contacts and Personnel form. Validate contact types on the Contact Types form.

To add contacts at a governing body

  1. Locate the governing body on the Governing Bodies list, click the governing body link to open the Governing Bodies form, and expand the Contacts section if necessary.

  2. Click Add Contact and select a Contact name from the list.

    If the appropriate contact is not listed, click the Ellipsis button and add it.

  3. Select a Contact Type from the list.

    If the applicable contact type is not listed, click the Ellipsis button and add it.

  4. Click OK.

    The contact is displayed as a line item. Edit existing contact information using the buttons adjacent to the line item.

  5. Repeat steps 2 through 4 to add other contacts.

  6. Click the Save button on the form.

Adding ID Types set by a Governing Body

In the ID Types section on the Governing Bodies form, associate types of identification numbers with the governing body that assigns them. For example, the EPA assigns TRI ID numbers and RCRA ID numbers to certain types of entities.

Enter the types of identification numbers on the Organization ID Types form. Entity-specific values for these ID numbers can be specified on the Enterprise Entity form.

To add ID types set by a governing body

  1. Locate the governing body on the Governing Bodies list, click the governing body link to open the Governing Bodies form, and expand the ID Types section if necessary.

  2. Click Add ID Type and select an ID Type from the list.

    If the appropriate ID type is not listed, click the Ellipsis button and add it.

  3. Click OK.

    The ID type is displayed as a line item. Edit existing types using the buttons adjacent to the line item.

  4. Repeat steps 2 and 3 to add other ID types.

  5. Click the Save button on the form.

Entering Exposure Limits set by a Governing Body

If a governing body has developed standard exposure limits, they can be selected in the Exposure Limits section on the Governing Bodies form. For example, the governing body ACGIH has an exposure limit called TLV. Before beginning, make sure a list of exposure limits has been validated on the Exposure Limits form.

Enter values for the exposure limits in the Regulatory Information section on the Material form. Non-chemical stressor exposure limit values can be entered in the Exposure Limits section on the Non-chemical Stressor Properties form.   

To enter exposure limits set by a governing body

  1. Locate the governing body on the Governing Bodies list, click the governing body link to open the Governing Bodies form, and expand the Exposure Limits section if necessary.

  2. Click Add Exposure Limits and select an exposure limit from the list.

    If an exposure limit is not listed, click the Ellipsis button and add it.

  3. Click OK.

    The limit is displayed as a line item. Edit existing exposure limits using the buttons adjacent to the line item.

  4. Repeat steps 2 and 3 to add other exposure limits.

  5. Click the Save button on the form.

Associating Hazards with a Governing Body

In the Hazards section on the Governing Bodies form, associate particular hazards with the governing bodies that publish them. For example, OSHA cites "Carcinogenic" as a health hazard for certain materials.

Document the hazards imposed by materials (chemical stressors) in the Regulatory Information section on the Material form, and document hazards for non-chemical stressors on the Non-chemical Stressor Details form. Hazards must be associated with governing bodies on the Governing Bodies form to assign them to stressors.

To associate hazards

  1. Locate the governing body on the Governing Bodies list, click the governing body link to open the Governing Bodies form, and expand the Hazards section if necessary.

  2. Click Add Hazards and select a hazard from the list.

    If a particular hazard is not listed, click the Ellipsis button and add it.

  3. Click OK.

    The hazard selected is added as a line item in the Hazards section. Edit existing hazards using the buttons adjacent to the line item.

  4. Repeat steps 2 and 3 to add other hazards.

  5. Click the Save button on the form.
