Note:
Administrator permissions are required to access the Entity
Access Profile form.
Entity Access profiles determine which entities a class of users can access. For example, if you are managing multiple entities within one database, it may not be permissible for users from one entity to change (or in some cases even view) information about another entity in your enterprise. Entity Access profiles ensure that a user group views only the information that applies to the group's entity. In this scenario, it would be beneficial to set up a number of Entity Access profiles.
Tip: An Entity Access profile must be established and assigned
to users even if you have just one entity.
Define Entity Access profiles on the Entity Access Profile form. Enter a name for the profile, such as "East Coast Users", and select the appropriate entity or entities that should be part of the profile in the Assigned Enterprise Entities section.
Entity Access profiles are assigned to users on the User Manager form and are part of the Hierarchy Security profile, where different authorization levels can be assigned to each entity.
If an Entity Access profile needs to be changed, it can be edited at any time. After Essential is restarted, all user login accounts assigned the Entity Access profile will reflect the updated profile information. New Entity Access profiles can also be established as needed.
To
establish Entity Access profiles
Tip: Before you begin, be sure your entities have been established
on the Enterprise Entity form.
Click Administration
> Entity Access Profiles in the Navigation
Tree.
The Entity Access Profiles
list appears.
Click the New
button.
The Entity Access Profile form
is displayed.
Enter the Entity Access Profile Name.
Click Add Assigned Entities in the Assigned Enterprise Entities section.
Click the check box adjacent to each entity to be included in the profile. Use the following guidelines:
The standard Windows functionality for selecting multiple options is available. For example, to select nonadjacent entities, click the check box for an entity, and then hold down CTRL and click each additional entity's check box. To select adjacent entities, click the check box for the first entity in the sequence, and then hold down SHIFT and click the last entity's check box.
Enter search criteria and click Search to locate specific entities.
check boxes that contain a checkmark represent entities included in the profile. Remove access to an entity by clicking the check box to clear the checkmark.
Click OK.
The selected entities are listed in the Assigned
Enterprise Entities section. Click the Edit
Assigned Entities button to change existing assignments.
Click Save.
Repeat steps 2 through 7 to add other Entity Access profiles.
