To expedite the data entry phase of the case review process, the followings lists are available for reviewing cases:
Case List - View cases with a Draft or Open status that require action by the review team.
Cases For Review - View assigned cases and identify which cases have been reviewed.
Compliance Meeting Review - View the cases scheduled for review at a specific review meeting and identify which cases are accepted by the review team.
Information about each list is provided below.
Use the Case List to view cases with a Draft or Open status that require action by the review team, such as:
One or more corrective actions are overdue.
One or more corrective actions are pending approval.
All corrective actions assigned to the case are complete.
No compliance meeting date has been specified.
A compliance type mismatch exists where the case compliance type = NC and the compliance type of an associated incident = PNC.
One or more causal root causes are pending approval.
The Case List contains a separate column for each condition. A Yes entry indicates the condition(s) that apply to the case.
Access the Case List by clicking Data Entry > Case Management > Case List in the Navigation Tree. Each case record is displayed as a line item. The case number is a link to the case record. A Show My Cases filtering option is available to view cases where the contact assigned to the logged-in user account matches the contact entered in the Assigned To field on the Case form.
Use the Cases for Review List to view assigned cases and identify which cases have been reviewed. Begin by specifying a team name and compliance meeting date. Each case is displayed as a line item with a link to the case record. Links are also provided for generating the Compliance Plan Review report and for sending an email notification. The cases listed are first sorted in descending order by compliance meeting date, then sorted in ascending order by entity, and finally, in ascending order by case number. A Hide Reviewed Cases check box is available to apply additional filtering to the list.
Once a case has been reviewed, click the check box adjacent to the line item to identify it as a reviewed case. The Mark Checked as Reviewed button initiates a bulk update process that updates the Reviewed status of all the cases identified as reviewed. The following activity automatically takes place:
The Reviewed status is changed to Yes.
The Date field is populated with the current date.
If a significant change has been made to a case that has been reviewed, the Revised value will be changed to Yes and the Reviewed value will be changed back to No.
To review assigned cases
Click Data Entry > Case Management > Cases For Review in the Navigation Tree.
Select a Team
Name and Compliance Meeting
date from the list for each field.
Assigned cases are displayed as line items in the Cases
for Review section.
Click the Case # link to review a case.
Click the check box adjacent to the line item to indicate the case has been reviewed.
Repeat steps 3 and 4 to identify other reviewed cases.
Click the Mark
Checked as Reviewed button to complete the review process.
The Reviewed value will automatically
change from No to Yes.
Tip: The View link in the Report
field is available to generate a Compliance Plan Review report
and the Send link in the Email field can be used to send
an email notification.
Repeat this procedure after a significant change has been made to a reviewed case.
Use the Compliance Meeting Review List to view the cases scheduled for review at a specific review meeting, accept the determination made for one or more cases, and/or change the compliance meeting date for one or more cases. Begin by specifying a team name and compliance meeting date. Each case is displayed as a line item with a link to the case record. The list contains case records with the specified compliance meeting date and with one or more of the following Case form field entries:
A blank First Reviewed Date.
A selected Additional Review check box.
A selected Recommended for Close check box (required before a case can be closed).
A selected Existing Case Revision check box.
The cases are first sorted in ascending order by entity and then by case number.
If a case has not been previously reviewed, the status in the New/Revised Case field is New. When a case has been previously reviewed and a significant change was made since the previous review, the status in the New/Revised Case field is Revised. If the field is blank, one or more Additional Review/Recommended for Close/Existing Case Revision check boxes have been selected for a previously reviewed case.
Once the review team has agreed to accept the case determination, click the check box in the Accept field. This check box is not available for selection if the compliance meeting date is in the future. When the review for a case need to be rescheduled, select a new Compliance Meeting date. The Update Cases button initiates a bulk update process of all changes. The Case form is automatically updated as follows:
The First Reviewed field is automatically populated with the compliance meeting date when one does not exist. |

For cases with an Additional Review and/or Existing Case Revision determination, the Additional Review and Existing Case Revision check boxes are cleared. |

For cases with a Recommended to Close determination:
The same updates are applied if the status is changed to Closed on the Case form except the Case Closed date is set to the date the status is changed to Closed (which may or may not be a compliance meeting date). In addition to the case updates, all open incident records associated with the case are automatically closed—overriding any incident security constraints. Each associated incident's closed date is set to the case's closed date. |

When a new compliance meeting date has been selected instead of the Accept option, the Compliance Meeting field is updated with the new date. |
To review compliance meeting
cases
Click Data Entry > Case Management > Compliance Meeting Review in the Navigation Tree.
Select a Team
Name and Compliance Meeting
date from the list for each field.
Cases are displayed as line items in the Compliance
Meeting Cases section. The New/Revised
Case field indicates if the case is New or has been Revised
by a significant change since the last case review. A blank field
indicates one or more Additional Review/Recommended for Close/Existing
Case Revision check boxes has been selected for a previously reviewed
case. The Related Case field
indicates if there are other cases related to the line item case (Yes) or not (No).
Click the Case # link to review a case.
Reschedule the review of a case
by selecting a different Compliance
Meeting date only.
Just compliance meeting dates flagged as Active are available for selection.
Refer to Contacts and Personnel
Teams for additional information.
Click the Accept
check box in the line item to indicate the case determination has
been accepted.
The Accept check box is unavailable
for selection if the compliance meeting date is in the future.
Repeat steps 3 through 5 to identify other cases for rescheduling or case determination acceptance.
Click the Update Cases button to complete the review process.
