Working with Validation Tables

Before you Start

Before using the Essential web software, it is critical to take the time to properly identify and organize all relevant resources that will be entered into the database. The General Work Flow for your module(s), the Quick Start, and the Working with Validation Tables topics are essential reading for proper organization, and should be reviewed and understood before proceeding with data entry.

What is a Validation Table

A Validation table is a series of records that contain valid data entries you can use throughout the Essential software. There are many validation tables and, because Essential is an integrated database, most are used by more than one module. Validation tables eliminate time-consuming and repetitive data entry and ensure that every Essential user references the same information.

When Should I Review Validation Tables

Although many of the validation tables are shipped with data, you should browse the tables during your initial implementation of the module to ensure that the exact information you need to use is in the tables. When data is missing, you can edit any existing information or establish additional values.

You can also add entries into a validation table as you are working on other forms. If you need to add a value to a field or list that is populated by a validation table, you can click the Ellipsis button next to the field or list. The Ellipsis button is a shortcut to the validation table form. (Your access to validation table forms depends on your security profile settings.) Even though you can add validation table entries “on the fly,” it is recommended that you establish or verify each of the validation tables during the initial implementation of the software.

After each table’s entries are verified, user access can be restricted which will protect the integrity of your database and ensure you are producing quality reports.

How do I Access Validation Tables

A form has been established for each validation table. The validation table forms used by a module are included in that module's Validation subfolder. Open the module folder and click Data Entry > Validation in the Navigation Tree to view the forms. Locate the form and click the form's link to open an existing list of values stored in the validation table. Click an existing value's link or click the New button to open the validation table form.
