Contact Types

On the Contact Type form, enter specific job functions of the individuals established on the Contacts and Personnel form. Essential is shipped with a few contact types, such as "Owner/Operator" and "SARA 312 Emergency Contact #1". Use these contact types and/or add other ones.

A contact type is required when assigning a contact to an entity or governing body. Contact types provide a method for quickly identifying the individuals to contact in an emergency or for information. Contacts can also be referenced on reports (e.g., SARA 312 Tier Two reports) or assigned access to other forms, such as the Parameter Group form, based on the contact type.

For each contact type, equivalent entries in different languages can be defined. For example, a "Manager" type in Spanish, "Encargado", and/or Norwegian, "Sjef" could be specified. When localization has been implemented, the Culture setting assigned to a user determines which value is displayed in field lists on Essential forms. Enter the corresponding contact types and associate each one with the appropriate language in the Language Dependent Contact Types section.

Important:  For the Louisiana Tier Two report, you MUST specify whether a person is an owner or operator using the "Owner" or "Operator" contact types. For all other reports, you MUST use the "Owner/Operator" contact type to identify these individuals.

To enter contact types

  1. Click Data Entry > Validation > Contact Types in the Navigation Tree.

    The Contact Types list appears.

  2. Click the New button.

    The Contact Type form is displayed.

  3. Enter a Contact Type.

  4. Expand the Language Dependent Contact Types section, when necessary, to add the type in different languages. Otherwise, skip to step 8.

  5. Click Language Dependent Contact Type and select a Language from the list.

    If the appropriate language is not listed, click the Ellipsis button and add it.

  6. Enter the Contact Type for the language selected and click OK.

    The translation information is displayed as a line item in the Language Dependent Contact Types section. Edit existing translation information using the buttons adjacent to the line item.

  7. Repeat steps 5 and 6 to add other language translations.

  8. Click the Save button on the form.

  9. Repeat steps 2 through 8 to add other contact types.
