On the MSDS Information form, enter the following information about the MSDSs to be published for a material:
a descriptive MSDS Code (codes can include numbers and letters);
the applicable material;
an MSDS Name, to publish MSDSs for the same material under different aliases;
an entity, to directly associate with the MSDS code;
the vendor who manufactures the material; and
a business unit, to associate with the MSDS code.
Once you have defined this MSDS information for a material, the MSDSs can be published. Publishing stores the MSDS in the database. You can also wait until later to publish, which is useful if you want to publish several MSDSs at the same time.

MSDS Codes uniquely identify the material's MSDS or group of MSDSs. Although many MSDSs can be grouped together, use only one code to identify a material and type of MSDS. For example, suppose the MSDS Code 2000598 is assigned to the material Sulfuric Acid Solution, which has an electronic file MSDS. Using that same code, the electronic file MSDS could be published in many different languages, but each MSDS would describe the same material. MSDS Codes can be used when searching for a MSDS; therefore, you should use a convention for assigning codes that will be useful in locating a particular material's MSDS.
A material must be associated with each MSDS. Make sure detailed information for the material, including synonyms, composition, and regulatory information, has been entered. This information will be included on the MSDS.
Some manufacturers market the same material under different product names. Using MSDS Names, authored MSDSs can be published for each of these products that will contain the same material and phrase information as a base material but that will list the MSDS Name as the Product Name. To do this, enter an MSDS Code, select the base material, and select an MSDS Name. (You must have a customized format that references the MSDS Name.) MSDS Names must be synonyms of the base material with the synonym category called MSDS Name. If this functionality is not applicable, an MSDS Name is not required.
Note:
A different MSDS Code must be used for each MSDS Name.
One or more entities, vendors, and business units can be directly associated with an MSDS. For an entity association, only entities established with Entity Designations of Customer and Receives MSDSs are available for selection. For vendor associations, include the company that authored the MSDS—either your organization or the manufacturer where the material was purchased. Only entities established with an Entity Designation of Material Vendor can be assigned as a material vendor. Validate all applicable business units on the Business Unit form.
Click Data
Entry > MSDS Information > MSDS Information in the Navigation Tree.
The MSDS Information list is
displayed.
Click the New button to open the MSDS Information form.
Enter an MSDS Code. Codes can include numbers and letters.
Select a Material from the list.
Select an MSDS
Name from the list to publish the MSDS using an alias instead
of the material name.
Only synonyms of the selected material with the synonym category MSDS Name will be listed.
If the applicable name is not listed, click Add
MSDS Name and establish a synonym.
Expand the Assigned Enterprise Entities section, when necessary, and click Add Assigned Enterprise Entities. After the record is saved, the button label changes to Edit Assigned Enterprise Entities.
Use the following guidelines to select one or more entities:
check boxes that contain a checkmark represent entities assign to the MSDS. Remove an entity assignment by clicking the check box to clear the checkmark.
The standard Windows functionality for selecting multiple options is available. For example, to select nonadjacent entities, click the check box for an entity, and then hold down CTRL and click each additional entity's check box. To select adjacent entities, click the check box for the first entity in the sequence, and then hold down SHIFT and click the last entity's check box.
Enter search criteria and click Search to locate specific entities.
Click OK.
Entity assignments are displayed in the Assigned
Enterprise Entities section.
Expand the Material Vendors section, if necessary, and click Add Assigned Material Vendors. After the record is saved, the button label changes to Edit Assigned Material Vendors.
Use the following guidelines to one or more material vendors:
check boxes that contain a checkmark represent material vendor entities associated with the MSDS. Remove a vendor association by clicking the check box to clear the checkmark.
The standard Windows functionality for selecting multiple options is available. For example, to select nonadjacent entities, click the check box for an entity, and then hold down CTRL and click each additional entity's check box. To select adjacent entities, click the check box for the first entity in the sequence, and then hold down SHIFT and click the last entity's check box.
Enter search criteria and click Search to locate specific entities. Click Clear to remove the search results and view the original list of entities displayed. Any selections made prior to clicking Clear are retained.
Click OK.
Material vendor assignments are displayed in the Assigned
Material Vendors section.
Expand the Business
Units section, when necessary, select the Available
Business Units to be associated with the MSDS, and click the
right arrow button.
If the appropriate unit is not listed, click Edit
Business Units List and add it. Remove an assigned business
unit by selecting it and clicking the left arrow button.
Click Save.
