Adding Waste to Shipments

In the Waste module, shipments are used to dispose of containers off-site and ship containers and bulk materials to a receiving facility for disposal. Specify containers and bulk materials for a shipment in the Line Items section on the Shipment Information form.

Overview of Off-site Waste Disposals and Shipments

In the Line Items section on the Shipment Information form, add containers and bulk materials to a shipment for disposal. The Shipment Line form is used to specify the containers or bulk material and other shipment information, such as descriptions, instructions, and codes for the waste manifest, the waste managementl method and point of generation, as well as the shipment costs.

Container shipments are useful when you are interested in detailed information on material movement at your entity and material shipment off-site. Detailed information includes, for example, the container ID and process unit where the container was stored. When you ship containers, you can designate whether or not the shipment will be disposed upon receipt. Bulk material shipments are useful for documenting the point of generation and shipment of material waste that you may not have wanted to track through specific container assignments.

You can ship one or multiple containers under one shipment number. Specify the containers that apply to the shipment on the Add Containers to Shipment form. When multiple containers are being shipped, you can designate each as a separate shipment line item or combine all containers into one line item. For example, you may want to combine containers that share common shipment information such as authorization number and handling code. This allows you to enter information once for multiple containers. After containers have been defined for the shipment, add other shipment information on the Shipment Line form. A container can only be shipped or disposed of once in the Waste module.

Default results must be defined for a material waste's physical property Bulk Density when the waste is added to a container or shipment line with a volume units of measure, e.g., gallons. Define Bulk Density result values in the Material Composition and Properties section on the Waste Profile or Material form. Refer to Composition and Properties for additional information.

Once your shipment has been received, update the shipment status accordingly. When a shipment is received by a receiving facility, any bulk materials in that shipment are automatically considered disposed by the Waste module. However, any containers in that shipment are not considered disposed until you specify the disposal date. (Document disposal dates using the Manifest Return form.)

Tip:  If you want to dispose waste at an entity-specific waste disposal system (the entity where the waste resides), use the Waste Disposal Systems form. Click here for more information about disposing waste on-site.

Establishing Shipment Line Items

In the Line Items section on the Shipment Information form, add containers and bulk materials scheduled for off-site disposal to a shipment. The shipment information record must be saved and the status set to Pending in order to establish line items. No containers or bulk materials can be added to or removed from shipments with a Shipped or Received status.

The waste manifest selected for a shipment determines which data is pulled from your Essentialâ„¢ database and used to populate the manifest. If a different manifest is chosen after waste is added, the data collected for the initial manifest selected will be used to populate the subsequent manifest chosen. If the subsequent manifest requires different, or additional, information, it may be incomplete. For example, assume the new Uniform Hazardous Waste Manifest was selected when waste was added to the shipment and the shipment record has been saved. If the Texas waste manifest is subsequently chosen and generated, the data collected for the new Uniform Hazardous Waste Manifest will be used to populate the Texas manifest.

Note:  For the new Uniform Hazardous Waste Manifest, the Profile number and ERG numbers are added to the Special Handling Instructions and Additional Information section of the manifest. For state manifests, the Profile number and ERG number are added to section J. Additional Description.

Waste manifest selections are specified in the Manifest form field on the Shipment Information form.

To establish shipment line items

Tip:  Default results must be defined for a material waste's physical property Bulk Density when the waste is added to a container or shipment line with a volume units of measure, e.g., gallons. Define Bulk Density result values in the Material Composition and Properties section on the Waste Profile or Material form. Refer to Composition and Properties for additional information.

  1. Locate the shipment on the Shipment list and click the shipment link to open the Shipment Information form.

  2. Review the Manifest form field entry in the Generator and General Shipment Information section for accuracy and use the following guidelines before choosing another manifest from the list:

  1. Expand the Line Items section if necessary.

  2. Click Add Line Item to add bulk material and follow the guidelines below. Otherwise, skip to step 5.

  1. Click Add Container to Shipment to specify containers and complete the Add Containers to Shipment form. For additional information, refer to Specifying Containers for Shipments.

  2. Review the entries in the Line Items section for accuracy.

    Each bulk material or container specified is displayed as a line item in the Line Items section. Click the Edit button adjacent to a line item to open the Shipment Line form and view, add, or change shipment information.

  3. Click the Save button on the form.

  4. Repeat steps 2 through 7 to add other line items.

    Tip:
     By default, hazardous wastes should be listed first followed by non-hazardous wastes. In cases where additional waste is added after the initial line items have been established, click the Reorder Line Items button to ensure all hazardous wastes are listed first.

Specifying Containers for Shipments

Specify the container(s) to be included in the shipment on the Add Containers to Shipment form. Just the containers at the generator entity that are not assigned to other shipments are available to be added. When multiple containers are being shipped, you can designate each as a separate shipment line item or combine all containers into one line item. For example, you may want to combine containers that share common shipment information such as authorization number and handling code. This allows you to enter information once for multiple containers.

After containers have been defined for the shipment, add other shipment information, disposal information, or both on the Shipment Line form. Click the Edit button adjacent to the container line item in the Line Items section on the Shipment Information form to open the Shipment Line form.

A container can only be shipped or disposed of once in the Waste module.

To specify containers for shipments

Tip:  The shipment information record must be saved and the status set to Pending in order to establish line items and specify containers.

  1. Locate the shipment on the Shipment list, click the shipment link to open the Shipment Information form, and expand the Line Items section if necessary.

  2. Click Add Container to Shipment.

  3. Select a waste profile or container number to filter the containers, when applicable, and click Get Containers. Filtered containers are displayed in the Containers On Site section.

  4. Click the check box adjacent to each container line item to be added to the shipment in the Containers on Site section.

  5. Review the Default Unit of Measure to be applied to the selected containers for the manifest and select a different measure from the list when applicable.

    Tip:  A default unit of measure can be defined on the Waste Defaults form. Otherwise, the default is P (pounds).

  6. Select the Consolidate Containers on Shipment Lines option when applicable and click Add Selected Containers to Shipment.

  7. Close the Add Containers to Shipment form.

    The selected containers are displayed as line items in the Line Items section. If you selected the Consolidate Containers on Shipment Lines option, all containers are displayed as one line item. Use the Edit button adjacent to the line item to open the Shipment Line form and view, add, or change shipment information.

  8. Click the Save button on the form.

Entering Waste Manifest Information

Use the Manifest Information section on the Shipment Line form to enter data for your waste manifest. Information, such as DOT descriptions and waste codes, previously associated with the selected container or waste profile is automatically added to this section. Edit the information when applicable. The numbers and letters displayed with each field name represent a particular section on the manifest form.

To enter waste manifest information

  1. Locate the shipment on the Shipment list, click the shipment link to open the Shipment Information form, and expand the Line Items section if necessary.

  2. Click the Edit button adjacent to the line item to open the Shipment Line form.

  3. Expand the Manifest Information section when necessary.

  4. Review the default information displayed and make any necessary edits.

    The quantity and corresponding unit of measure are required. For container shipment lines, the number of containers and container type are also required.

  5. Click the Save button on the form.

Adding Shipment Disposal Information

Enter the waste disposal method, point of generation, and authorization number in the Additional Information section on the Shipment Line form. Indicate whether the waste disposal is exempt from TRI reporting or if the waste is not SARA-reportable. Validate a list of disposal methods on the Disposal Methods form.

To add shipment disposal information

  1. Locate the shipment on the Shipment list, click the shipment link to open the Shipment Information form, and expand the Line Items section if necessary.

  2. Click the Edit button adjacent to the line item to open the Shipment Line form.

  3. Expand the Additional Information section when necessary.

  4. Select a Planned Disposal Method from the list. When a management method code has been associated with the waste profile, the Planned Disposal Method is field is automatically populated. Select a different method from the list when applicable.

    If the disposal method is not listed, click the Ellipsis button and add it.

  5. Select the applicable Container Type, Process Unit, and Point of Generation from the list for each field.

  6. Enter the Authorization Number.

  7. Click the SARA Exempt check box if the waste disposal is exempt from TRI reporting or if the waste is not SARA-reportable.

  8. Click the Save button on the form.

Assigning Containers to Shipment Line Items

Use the Containers section on the Shipment Line form to assign other containers with similar contents to the line item. The containers already added to the line item are listed as Assigned Containers.

Tip:  Click the Container Label button to print labels for your containers. Refer to Printing Container Labels for additional information.

To assign containers to shipment line items

  1. Locate the shipment on the Shipment list, click the shipment link to open the Shipment Information form, and expand the Line Items section if necessary.

  2. Click the Edit button adjacent to the line item to open the Shipment Line form.

  3. Expand the Containers section when necessary.

  4. Select one or more Available Containers and click Add to assign the containers to the shipment.

    Unassign a container by selecting it and clicking Remove.

  5. Click the Save button on the form.

Adding Cost Information

Use the Cost Information section on the Shipment Line form to document your shipment expenses per line item, including disposal, transportation, shipping, and miscellaneous costs. Expenses are identified with cost codes which must be established on the Cost Code form to be available for selection.

The costs associated with line items are added to the Cost Information section on the Shipment Information form. Totals are automatically calculated when the shipment information record is saved.

To add cost information

  1. Locate the shipment on the Shipment list, click the shipment link to open the Shipment Information form, and expand the Line Items section if necessary.

  2. Click the Edit button adjacent to the line item to open the Shipment Line form.

  3. Expand the Cost Information section when necessary.

  4. Click Add Cost to open the Shipment Cost form.

  5. Select a Cost Code from the list.

    The Cost Type and Charge Type fields are automatically populated when a cost code has been selected.

  6. Change the Quantity when applicable.

  7. Enter the Price and click Save.

    The cost information is displayed as a line item in the Cost Information section. Change existing cost information using the Edit button adjacent to the line item.

  8. Repeat steps 4 through 7 to add other cost information.

  9. Click the Save button on the form.

Printing Bulk Waste Container Labels

Use the Print Bulk Waste Label form to print labels for bulk waste containers being shipped. One or more labels can be printed for each line item in the shipment.

Tip:  Bulk waste container labels can also be printed via the Manifest Reconciliation form.

To print bulk waste container labels

  1. Locate the shipment on the Shipment list, click the shipment link to open the Shipment Information form, and expand the Line Items section if necessary.

  2. Click the Edit button adjacent to the line item to open the Shipment Line form.

  3. Click Bulk Waste Label.

    The Print Bulk Waste Label form appears.

  4. Select a different Label from the list when applicable.

  5. Click Adjust Margin and change the default Left Margin and Top Margin values when necessary.

  6. Click Create Label.

    A printer-friendly version (.pdf) of the label is displayed in a separate Adobe Acrobat Reader window with printing, saving, and emailing capabilities.

  7. Print the label.
