Overview of Entity Materials

Establishing a list of materials for an entity is especially helpful when there are multiple entities within the same database. For example, suppose each entity uses fuel oil to fire its boilers and each entity's fuel oil is manufactured by a different vendor. As a result, the quality of the oil could change from entity to entity. If the same material is assigned to each entity where it is used, the fuel analysis of each vendor's product can be tracked without duplicating a material in the database.

Associate a default SARA 313 activity with each entity material to document the use of the material on site, such as "For on-site use/processing", which is required for the form R. When an inventory transaction related to a material is established in the Inventory module, the system will associate this default activity with the transaction if a process unit-specific activity was not designated. The system can calculate the quantities applicable to each reporting threshold—manufactured, produced, and otherwise used—so that reporting requirements can be determined.

Assign materials to an entity on the Entity Material form or in the Entity Materials section on the Enterprise Entity form. Once materials have been assigned, properties about the materials can be defined and entity material monitoring parameters can be set up. Material properties are characteristics of the material that do not change over time, such as average quantity used. By contrast, parameter data can vary, e.g., the amount of fuel used daily. Set up types and properties on the Entity Material Types and Properties form and establish entity material parameters on the Parameter Definition form. Tip:  For the Waste module, if an entity has been associated with a waste profile approval that is not available to all generators, the waste profile will also be associated with the entity as an entity material. Refer to Waste Stream Profiles for additional information.

Assigning Materials to an Entity

Establish a list of the materials, such as raw materials or fuels, used by an entity on the Entity Material form.

To assign materials

Tip:  When assigning materials to an entity via the Entity Materials section on the Enterprise Entity form, begin with step 4.

  1. Click Data Entry > Essential Hierarchy > Entity Materials in the Navigation Tree to access the Entity Materials list.

    For Process Data Manager, a link to the form has been added to the Process Unit Hierarchy folder.

  2. Locate your entity and click the entity link to open the Entity Material form.

  3. Expand the Enterprise Entity Material section when necessary.

  4. Click Add Material.

  5. Select a Material from the list.

  6. Select a Default SARA 313 Activity from the list.

  7. Click Save.

  8. Assign other materials by clicking the New button and repeating steps 5 through 7 to add other materials.

  9. Close the window.

    Each material is displayed as a line item in the Enterprise Entity Material section (or the Entity Materials section on the Enterprise Entity form).

  10. Associate material types, properties, monitoring parameters, activities, source reduction methods, and regulatory information with the entity material by clicking the appropriate link.

Defining Entity Material Types and Properties

On the Entity Material Types and Properties form, assign a type to an entity material to describe how the material is used. For example, an entity material might be categorized as a "Fuel". A set of properties about the entity material can also be defined. For materials that are fuels, the ash content, sulfur content, or the vendor supplying the fuel may be defined as properties. Since material types and properties can change over time, an effective date is required to track and maintain changes. The information associated with the most recent effective date is always automatically displayed when the Entity Material Types and Properties form is opened. However, you can select a previous effective date from the Select Effective Date field list when one exists to review/edit the information for the chosen effective date.

Before properties can be defined, material types and properties must be established on the Material Type and Material Properties forms, respectively. While material properties are mainly used to meet reporting requirements, any material data that is not variable can be included.

To define entity material types and properties

Tip:  When assigning material types and properties to an entity material via the Entity Materials section on the Enterprise Entity form or via the Entity Material form, click the Types and Properties EDIT link and begin with step 4.

  1. Click Data Entry > Essential Hierarchy > Entity Material Properties in the Navigation Tree to access the Entity Material Types and Properties list.

    For Process Data Manager, a link to the form has been added to the Process Unit Hierarchy folder.

  2. Click the New button.

    The Entity Material Types and Properties form is displayed.

  3. Select an Entity and Material from the list for each field.

    If the appropriate value is not listed, click the Ellipsis button next to the field and add it.

  4. Select a Material Type from the list. If the applicable type is not listed, click the Ellipsis button and add it.

  5. Enter an Effective Date. The Calendar button is available to select a date.

    Tip:  After the initial effective date has been entered and saved, a Select Effective Date field is displayed. When more than one effective date exists, you can select an effective date from the list to review/edit the information for the chosen effective date.

  6. Click Save to display the Properties section.

  7. Click Add Property and select a Property from the list.

    If the appropriate value is not listed, click the Ellipsis button and add it.

  8. Enter the appropriate Text Value or Numeric Value for collection results.

  9. Select a Unit of measure when a numeric value has been entered.

    If the unit of measure is not listed, click the Ellipsis button and add it.

  10. Click the Save button. Then, click Close.

    The property is added as a line item in the Properties section. Change existing property information using the Edit button adjacent to the line item.

  11. Repeat steps 7 through 10 to add another property.

  12. Click the Save button on the form.

    Tip:  When assigning material types and properties to an entity material via the Entity Materials section on the Entity Enterprise form or via the Entity Material form, click Close to return to the form.

Associating Monitoring Parameters with an Entity Material

Use monitoring parameters to collect variable data about a material as it is used at an entity. For example, an entity might use the same oil to fire all of its boilers. The oil could be established as an entity material and the monitoring parameters associated with it, such as the fuel's sulfur and ash content, could be tracked. Then, the monitoring data for the parameters could be recorded in accordance with monitoring requirements. Establish entity material parameters on the Parameter Definition form. Refer to Parameter Data Entry for monitoring data entry options.

Note:  When entity materials are associated with an entity in the Entity Materials section on the Enterprise Entity form, the Parameter Definition list is also displayed for the line item Parameters EDIT link.
